In today's fast-paced business environment, automation and synchronization of employee data are more than just a convenience—they're a necessity. Veroxos streamlines this process through our HR Integration feature, allowing seamless data transfer from your HR system (like SAP) directly into Veroxos. This guide provides an overview of how HR Integration works, the benefits it brings, and the essential details for setting it up effectively.
Overview
HR Integration automates the process of receiving and updating employee data from your client's system directly into Veroxos. Once set up, the system automatically creates and updates employee records, ensuring that your employee inventory is always accurate and up-to-date without any manual effort.
How It Works
The process involves setting up a secure SFTP folder exclusively for the client. This folder is configured to allow only designated client users to read and write data. A script on the Veroxos side then fetches the file from this SFTP folder and imports the data into the system, ensuring that employee details are synchronized with the latest HR files.
Benefits of HR Integration
- Leavers Process: Allows the client to terminate the services for the employee who has left the business.
- Efficiency: Automates the creation and updating of employee records, eliminating manual data entry and reducing errors.
- Timeliness: Keeps employee information current with no delays, enhancing operational responsiveness.
- Security: Uses secure protocols and encryption to ensure data integrity and confidentiality.
Required Fields for Integration
To ensure smooth integration and functionality, the following fields must be included in the HR files:
- User/Employee ID: Unique identifier for each employee.
- First Name
- Last Name
- Employee Status: Active, inactive, etc.
- Position Title
- Business Email Address
- Cost Center
Best Practices and Additional Fields
For enhanced functionality, consider including the following additional fields:
- Manager ID: Helps in defining organizational hierarchies and reporting structures.
- Company Code: Useful in multi-divisional organizations.
- Employee Termination Date: Essential for maintaining up-to-date employee status.
- Central ID: Recommended if rehiring is a common practice within the company, to maintain historical data integrity.
Encryption Options
To protect your data during transfer, Veroxos supports multiple encryption standards, with PGP being the standard encryption protocol used. This ensures that all transferred data remains secure from unauthorized access.
Conclusion
Setting up HR Integration within Veroxos not only simplifies the management of employee data but also enhances the accuracy and security of your information system. By following the outlined steps and recommendations, you can ensure a successful integration that supports your business needs efficiently.
